Odoo
1.General Overview
Upon logging into Odoo, the home screen provides access to all activated modules. The interface is designed to be intuitive; however, new joiners should familiarise themselves with the navigation bar, the main menu, and the quick-action icons before proceeding with any operational tasks.
1.1 Attendance — Punch In and Punch Out
All employees are required to record their attendance accurately on a daily basis. Odoo provides a dedicated attendance feature accessible directly from the main dashboard.
1. Locate the red circle icon on the home screen.
2. Click the icon to Punch In at the start of your workday.
3. Click the same icon again to Punch Out at the end of your workday.
Punctual and consistent use of the attendance feature is mandatory. Failure to punch in or out will result in inaccurate attendance records

2. Calendar
2.1 Overview
The Calendar module provides a shared, visual overview of all scheduled tasks, client visits, and office activities for every member of the team. Analysts and consultants are required to update their calendar on a daily basis to ensure that workloads are visible and meetings can be planned without conflicts.

2.2 How to Add a Calendar Entry
4. Navigate to the Calendar module from the main menu.
5. Click on the specific date for which you wish to create an entry.
6. A new entry window will open.
Title: Enter the project name followed by the specific task. For example: “ABC Company — Draft Sales SOP”
From / To: Specify the time allocated to the task. For example: “1:30 PM to 3:30 PM”
7. Review the list of analysts and consultants displayed on the left-hand panel to confirm availability before scheduling.
8. Click Save to confirm the entry.
2.3 How to Book a Shared Calendar
9. Click on the Attendees or sharing tab within the entry window.
10. Type the name of the person you wish to include.
11. Select the correct name from the dropdown list.
12. Click Save. The calendar entry will now appear on the selected person’s calendar.

2.4 How to View Another Person's Calendar
On the left-hand panel, locate the list of all analysts and consultants. Check the checkbox next to the relevant person’s name to overlay their schedule on your calendar view. This enables you to review their full plan of action for any given date and schedule meetings or tasks accordingly.

3. Projects
3.1 Overview
The Projects module provides a consolidated view of all projects assigned to analysts and consultants. It serves as the primary workspace for tracking task completion, monitoring pending deliverables, and maintaining visibility across the entire project portfolio.
All team members — analysts, consultants, and managers — can use this module to review the status of each project, including the number of tasks completed and those still outstanding.
3.2 Navigating the Projects Module
• Select Projects from the main navigation menu.
• The overview screen displays all projects currently assigned to Employee.
• Each project card shows the total number of tasks, tasks completed, and tasks pending.
• Click on a project to open its detailed task view.
4. PReM (Project Review & Meeting)
4.1 Overview
PReM stands for Project Review & Meeting. It is a structured monthly document that each analyst and consultant must prepare for every active project. The PReM captures the objectives, work completed, milestones achieved, upcoming targets, and any roadblocks encountered during the month. It serves as a formal performance and progress report shared with the client.

4.2 How to Create a New PReM
13. From the Projects module, click on the PReM tab.
14. A list of all previously drafted PReMs will be displayed.
15. To create a new PReM, click the New button.
16. A blank PReM form will open. Complete each field as described below.

Click on new.
4.3 PReM Form Fields:
Project Name: Enter the full name of the project.
Company: Select MMC from the dropdown.
Responsible: Tag the relevant analyst or consultant assigned to the project.
Objective: State the key objective for the current month for this project.
Performance Achieved / Key Success Points: Summarise the work completed by the analyst or consultant during the previous month.
Major Milestones with Deadlines: List the targeted deliverables for the current month along with their respective deadlines. For example: “Draft Sales SOP — by the 23rd.”
Roadblocks / Issues: Document any challenges or issues arising from the client’s side that are impeding progress.
Ratings: Record the client’s satisfaction rating on a scale of 1 to 10.
Client Satisfaction Review: Record any written feedback or comments provided by the client.
Reference Section: Any references provided by the client to the analyst or consultant.
Once all fields have been completed, the PReM must be signed. Click the Sign tab to formally submit the document.

4.4 Linking PReM to the Project Task Board
17. After the PReM has been created, copy all relevant PReM points.
18. Navigate to the corresponding project on the task board.
19. To create a new monthly tab, click the + (Plus) icon and name the tab using the format: PReM_Month_Year (e.g., PReM_Apr_26). Repeat this process for each month.

20. Within the newly created tab, enter the project name and set the Milestone field to “PReM.”
21. In the Sub-tasks section, copy and paste all tasks listed under Major Milestones with Deadlines from the PReM form.

22. As each task is completed, mark it as Done. If the task has been approved, click Approve.
23. If a sub-task is assigned to a specific individual, tag the relevant person using the Assignees field.
This process must be replicated consistently for every project in your portfolio.
5. Timesheets
5.1 Overview
The Timesheets module is used to record the time each analyst and employee spends on each project on a daily basis. Accurate timesheet entries are essential for project billing, resource planning, and performance management. All team members are expected to complete their timesheets regularly — ideally at the end of each working day.

5.2 How to Fill In Your Timesheet
24. Navigate to the Timesheets module from the main menu.
25. Click on the relevant project line or select a specific entry.
26. Click on list view tab.
27. Complete the following fields:
5.3 List View
The List View within the Timesheets module provides a comprehensive summary of all tasks completed by each analyst or consultant. This view is useful for reviewing historical entries, identifying gaps, and preparing for monthly performance discussions.
Timesheets must be maintained diligently. Incomplete or missing timesheet entries will be flagged during periodic operational reviews.

Project: Select the project name from the dropdown.
Task / Note: Add any relevant notes or task references.
Visit Type: Select one of the following: Office Work, Client Visit, or Video Conference.
Description: Briefly describe the task or activity completed on that day.
Time Spent: Enter the total number of hours spent on the project for that day.
6. General Guidelines for New Joiners
• Always log in to Odoo at the start of each working day and punch out before leaving.
• Update the Calendar daily with all planned tasks, client visits, and meetings.
• Ensure that all project tasks are updated in real time on the task board.
• Complete the PReM for every active project by the deadline specified by your manager.
• Fill in your Timesheets at the end of each working day without exception.
• If you encounter any technical issues with Odoo, notify your Operations Manager immediately.
• Do not share your Odoo login credentials with any other person.
